Information under Art. 13 and 14 GDPR

1. Controller

RESPOND by EcoTree GmbH (i.G.)
Chausseestraße 29
10115 Berlin, Germany
Represented by Christian Bergius, Managing Director
Email: contact@respondwater.eu

During the formation phase, transition responsibility lies with EcoTree International ApS, Vesterbrogade 26, 2., 1620 København V, Denmark, CVR-no. 40699805.

We have not appointed a data protection officer, as we are not legally required to do so. For any privacy matter, please contact us at the address above.

2. Data we collect through our forms

When you use one of the contact or assessment forms on this website, we process the information you enter: company or organisation, your name, your work email address, and - where you choose to provide it - your region or watershed of interest, your industry, and your free-text comment. From your email address we also derive and store the email domain (for example the part after the @), so we can recognise which organisation an enquiry belongs to.

All optional fields are marked as such. Providing your company, name and email is necessary for us to reply to your enquiry; if you do not provide this information, we will not be able to process or respond to your request.

3. Purpose and legal basis

We use this data solely to respond to your enquiry, to prepare a first assessment or project discussion, and to communicate with you about it. The legal basis is Art. 6(1)(b) GDPR (steps taken at your request prior to entering into a contract) and Art. 6(1)(f) GDPR (our legitimate interest in answering business enquiries). We do not use your data for newsletters or advertising, and we do not sell or rent it.

4. Recipients and processors

Your form submission is stored in the database that powers this website and triggers a notification email to our team. To operate the site we rely on the following service providers, each acting as a processor under a data processing agreement:

  • our website hosting and database provider (Lovable Labs Incorporated), which hosts the site and stores your submitted enquiry;
  • our email delivery provider (Infomaniak), based in Switzerland, which transmits the notification and confirmation emails;
  • Calendly, if you choose to book a call through the Calendly link on this site. In that case Calendly processes your booking data under its own privacy policy at calendly.com/privacy.
  • EcoTree International ApS, Vesterbrogade 26, 2., 1620 København V, Denmark, CVR-no. 40699805. As RESPOND is in the process of becoming part of the EcoTree group, we share the data you submit through our forms with EcoTree International ApS so the group can help assess and respond to your enquiry.

EcoTree International ApS is based in Denmark, within the European Economic Area, so no additional transfer safeguards are required. Lovable Labs Incorporated and Calendly are based in the United States. Where this results in a transfer of your data outside the European Economic Area, it is safeguarded by the European Commission’s Standard Contractual Clauses. Infomaniak is based in Switzerland, which benefits from an adequacy decision by the European Commission; no additional safeguards are required for this transfer.

5. Retention

We keep enquiries for 24 months after our last contact with you, then delete them - unless a contractual relationship follows or statutory retention duties (in particular under German commercial and tax law) require us to keep certain records for longer.

6. Server log data

When you visit this website, our hosting provider automatically processes technical access data such as your IP address, the requested page, referrer, browser type and time of access. This is necessary to deliver the site securely and reliably (Art. 6(1)(f) GDPR) and is stored only for as long as necessary to ensure the security and stability of our systems, typically no longer than 30 days, before being deleted or anonymised.

7. Cookies and tracking

We do not use analytics, advertising or tracking cookies, and we do not profile visitors. No automated decision-making within the meaning of Art. 22 GDPR takes place on this website. Only technically necessary storage is used, for example to remember your language choice. For this reason no cookie consent banner is shown.

8. External links and content

Our pages link to external services such as LinkedIn and Calendly. Following such a link takes you to a third-party website whose provider processes your data under its own privacy policy. We have no influence over that processing.

9. Your rights

You have the right to request access to your personal data (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20), and to object to processing based on legitimate interests (Art. 21). Where processing is based on consent, you may withdraw it at any time with effect for the future.

To exercise any of these rights, write to contact@respondwater.eu.

You also have the right to lodge a complaint with a supervisory authority. The authority responsible for us is the Berliner Beauftragte für Datenschutz und Informationsfreiheit, Alt-Moabit 59-61, 10555 Berlin. You may also lodge a complaint with the supervisory authority in the EU member state of your habitual residence, place of work, or the place of the alleged infringement.

10. Changes to this policy

We update this policy when our website or our processing changes. Last updated: September 2026.
